Hiring pipeline stages explained
If you are filling a role yourself, a short pipeline is easier to keep up than a complicated one.
The four stages
| Stage | What it means | What to record |
|---|---|---|
| Sourced | You found the person or they applied | Where you found them, their profile link |
| Screening | A first conversation to check basics | Call date, what you learned |
| Interview | One or more deeper conversations | Round number, date, notes on each round |
| Offer | You have made an offer | Date, and the outcome when you know it |
Habits that keep it moving
- Record the date each candidate reached each stage. It shows where people wait longest.
- Write a note after every conversation while it is fresh.
- Answer everyone, including the people you are not moving forward with.
- Look at the whole pipeline once a day. A list that is only checked weekly goes stale.
If your process is different
Add or rename stages to match how you hire, for example a take-home task. Keep the list short so it stays useful.
In HuntYourPath
Recruiter mode gives you these four stages by default, a Today page with your role and how many candidates sit at each stage, private notes, and your own stage lists if you need them.
