1. Thank-you, within a day of the interview

Thank you for taking the time to talk with me today about the [Role] position. I enjoyed hearing about [one specific thing from the conversation]. It made me more interested in the role.
[One sentence on why you fit, tied to something they said.] Please let me know if I can share anything else.

2. Checking in, about a week after they said you would hear back
Subject: Following up, [Role]
Hi [Name],
I wanted to follow up on the [Role] position. I remain very interested, and I am happy to provide anything that would help with your decision. Do you have an update on the timeline?

3. After a rejection
Subject: Thank you, [Role]
Hi [Name],
Thank you for letting me know, and for the time you spent on my interview. I would welcome feedback if you have any to share. I would be glad to be considered for future roles.

Tips
- Mention something from the actual conversation, so it does not read like a template.
- Send the thank-you the same day or the next morning.
- Put the follow-up date in your tracker when you send the first email.
